Payment Terms & Conditions

Welcome to Esthetica Dental Clinic and Esthetica Dental Academy (“Esthetica”, “we”, “our”, or “us”). These Payment Terms & Conditions govern all payments made through our website, online payment gateway, or directly at our clinic or academy.

By making a payment, registering for a course, booking an appointment, or purchasing any service, you agree to these terms.


1. Scope

These Payment Terms apply to:

  • Dental consultations and treatments

  • Cosmetic dentistry procedures

  • Dental implants and smile makeover services

  • Orthodontic treatments

  • Dental Academy courses

  • Workshops

  • Certification programs

  • Continuing Dental Education (CDE)

  • Online and offline training programs

  • Study materials and educational resources

  • Deposits, advance payments, and installment plans


2. Accepted Payment Methods

We accept payments through:

  • UPI

  • Credit Cards

  • Debit Cards

  • Net Banking

  • Wallets (where available)

  • Bank Transfer

  • Cash (at clinic/academy only)

All online transactions are processed through secure third-party payment gateways.


3. Currency

All prices displayed on our website are in Indian Rupees (INR) unless otherwise stated.

International participants shall pay in INR or the equivalent amount through the available payment gateway.


4. Pricing

All prices are subject to change without prior notice.

The applicable fee shall be the price displayed at the time of booking or enrollment.

Treatment estimates provided online are indicative only. Final treatment costs may vary after clinical examination, diagnostic investigations, or modifications to the treatment plan.


5. Advance Payments

Certain appointments, surgeries, cosmetic procedures, implant cases, smile design treatments, and academy courses may require an advance payment.

Advance payments reserve your appointment or training seat.

Failure to make the required advance payment may result in cancellation of the booking.


6. Treatment Payments

Patients agree that:

  • Consultation fees are payable at the time of consultation.

  • Treatment charges are payable before or immediately after the procedure unless otherwise agreed.

  • Multi-visit treatments may require staged payments.

  • Implant, orthodontic, cosmetic, and smile makeover cases may require installment payments according to the treatment schedule.

  • Outstanding dues must be cleared before completion of treatment or delivery of prostheses or appliances.


7. Academy Course Payments

Course registration is confirmed only after successful payment.

For installment-based courses:

  • Installments must be paid on or before the due date.

  • Delay in payment may result in suspension of course access.

  • Certificates may be withheld until all dues are cleared.


8. Payment Confirmation

Upon successful payment, participants or patients will receive confirmation via:

  • Email

  • SMS

  • WhatsApp (where applicable)

Please retain payment receipts for future reference.


9. Taxes

All applicable GST and statutory taxes shall be charged as per Indian law.

Prices displayed may be inclusive or exclusive of GST depending upon the specific service.


10. Refund Policy

Dental Clinic

Consultation fees are generally non-refundable once the consultation has been provided.

Payments for completed dental treatments are non-refundable.

Advance deposits may be adjusted against future appointments at our discretion.

Refunds for cancelled treatments before commencement shall be evaluated on a case-by-case basis.

Laboratory charges, customized appliances, aligners, crowns, bridges, implants, veneers, surgical materials, and special orders are generally non-refundable once fabrication or ordering has commenced.


Dental Academy

Registration fees are generally non-refundable.

If Esthetica Dental Academy cancels a course, participants shall receive either:

  • Full refund, or

  • Credit toward another course.

If a participant withdraws:

  • More than 30 days before commencement: refund after deduction of administrative charges (if applicable).

  • Less than 30 days before commencement: refund may not be available.

  • After course commencement: no refund shall be issued.

Digital products, online recordings, downloadable materials, and educational resources are non-refundable once accessed.


11. Cancellation Policy

Appointments should preferably be cancelled or rescheduled at least 24 hours in advance.

Repeated missed appointments without notice may require advance payment for future bookings.

Academy participants unable to attend should notify us at the earliest.

Transfers to another batch may be permitted subject to availability and management approval.


12. Failed Transactions

If payment fails but your account is debited:

  • Please allow reasonable banking time for automatic reversal.

  • If the amount is not reversed, contact us with the transaction ID.

  • We will assist in coordinating with the payment gateway and banking partner.


13. Chargebacks

Customers agree to contact Esthetica before initiating any chargeback or payment dispute.

Fraudulent chargebacks may result in suspension of services and legal action where applicable.


14. EMI / Installment Plans

Where installment or EMI options are available:

  • Payments must be made according to the agreed schedule.

  • Missed payments may result in suspension of treatment or course access.

  • Additional charges may apply if permitted by law and agreed upon.


15. Promotional Offers

Discounts, promotional offers, referral benefits, scholarships, or coupon codes:

  • Cannot be combined unless specifically stated.

  • Have no cash value.

  • May be withdrawn or modified without prior notice.


16. Gift Cards & Vouchers

Gift vouchers and promotional credits:

  • Are non-transferable unless stated otherwise.

  • Cannot be exchanged for cash.

  • Must be redeemed before expiry.


17. International Participants

International patients and academy participants are responsible for:

  • Bank transfer charges

  • Currency conversion fees

  • Applicable taxes imposed by their financial institutions


18. Limitation of Liability

Esthetica shall not be responsible for:

  • Payment gateway downtime

  • Banking delays

  • Technical failures beyond our control

  • Internet interruptions

  • Failed transactions caused by incorrect payment information


19. Fraud Prevention

We reserve the right to:

  • Verify payment information

  • Request identity verification

  • Decline suspicious transactions

  • Cancel fraudulent bookings without notice


20. Governing Law

These Payment Terms & Conditions shall be governed by the laws of India.

Any disputes shall be subject to the exclusive jurisdiction of the competent courts where Esthetica Dental Clinic is registered and operating.


21. Changes to Payment Terms

We reserve the right to modify these Payment Terms & Conditions at any time.

Updated versions shall become effective immediately upon publication on our website.
